Gateway - Upgrade to Rails v6.1 (Improvement)

Overview

We are excited to announce that our Gateway application has been upgraded to Rails version 6.1. This upgrade brings a lot of improvements, new features, and enhancements that will help us deliver an even better experience for our users.

What is Ruby on Rails?

Ruby on Rails, often just called “Rails,” is like the blueprint and construction crew behind the scenes of our application. It’s a powerful tool that helps our developers create and maintain the features you use every day. Imagine building a house: Ruby on Rails is the set of tools, materials, and instructions that help us construct a sturdy, reliable, and efficient home for all the functionalities you enjoy.

Ruby is the language we use to write the code, while Rails is the framework that organizes and simplifies how we build and update the application. Together, they allow us to quickly and effectively improve the application, add new features, and ensure everything runs smoothly.

What’s New in Rails 6.1?

SMS Tab - UX Improvements (Improvement)

Overview:

We are excited to introduce significant UX improvements to the SMS table within Ready Recruit, designed to enhance usability and provide a clearer overview of your SMS communications. Below is a summary of the key changes made:

What’s New:

  1. SMS Status:
    • The SMS status column will now display "Received" status against any SMS making it easier for the users to identify if there are any inbound SMS's received.
  2. Scheduled Date vs SMS Created Date:
    • We’ve added a clear distinction between the "Scheduled Date" and the "Actual SMS Created Date", helping you track when an SMS was intended to be sent versus when it was actually sent.
  3. View SMS Button:
    • The “View SMS” button is now more prominent and consistent across all rows, allowing for quicker access to full message details.
    • Users will also be able to view the inbound SMS count (total number of inbound SMS's received) against a particular SMS.

  • Streamlined Information: The upgraded table layout makes it easier to quickly scan and access important information related to your SMS communications.
  • Enhanced User Experience: These changes improve overall navigation and usability, allowing for a more efficient workflow when managing SMS messages.

Form Submissions - Ability to edit submitted forms (New Feature)

Overview:

We’re excited to announce a highly requested feature that enhances the flexibility and accuracy of managing submitted forms. Users can now edit an already submitted form directly via the Submissions tab at the entity level (example: candidate, placement forms level) without needing to navigate through the admin settings.

Key Benefits:

  • Increased Accessibility: Users with this permission will now have the ability to edit submitted forms against a candidate page itself without having to scroll through multiple page on the forms admin dashboard to make critical updates.
  • Improved Accuracy: This feature allows users to correct or update information after submission, ensuring that all data especially important details like disability status or other personal information is accurate and up-to-date.
  • Simplified Workflow: Users no longer need to search through the admin settings to find the correct candidate form. All edits can be made directly from the submissions tab, streamlining the process and saving time.

Example Scenario:

  • If a client initially indicates that they do not have a disability but later, during a call or career advice session, provides updated information, users can now easily return to the form and make the necessary changes via the candidate page itself.
  • This is especially important for forms with automatic scoring, where accurate data is crucial for correct processing and decision-making.

How It Works:

  1. Access the Submissions Tab: Navigate to the Submissions tab at the entity level where all submitted forms are listed.
  2. Edit Form Submission: Select the form you wish to edit, and make the necessary updates directly from this tab.
  3. Save Changes: Once edits are made, save the changes, and the updated information will be reflected immediately.
  4. Signed Forms: It is important to understand that when a user attempts to edit or update a submitted form that includes a signature, the signature will be removed. A warning message will appear, giving users the option to select either "Cancel" or "OK." If the user chooses "Cancel," they will be unable to make any edits to the form. Alternatively, if they select "OK," the signature will be deleted from the submitted form, enabling the user to make edits and re-sign the form prior to resubmission.

Who Can Use This Feature:

  • This feature is not automatically available to all users. However, an admin user can grant the newly introduced permission, "Can Edit Submitted Forms" under "Other Permissions" tab to the appropriate user roles on Ready Recruit.


What's new in Ready Recruit:

  • The Gateway application has been updated to Rails version v6.1
  • Enhancements have been made to the user experience concerning the SMS tables across all entities
  • Placement reports have been improved to reflect accurate data.
  • Added the ability to edit form submissions from an entity level (Example: Forms tab on a candidate page).
  • Fixed an issue where the notification emails were not being triggered when a placement rotation is performed.
