Status Change - Ability to send emails to applicants (Product Idea)

In this release, we have added the ability to trigger email alerts to the applicants (candidates) when their application or placement statuses are updated on Ready Recruit.

Admin Level: You can now create you own email templates against different application and placement statuses from the admin dashboard via the new admin page "Email Templates (Status Change Emails)" located under the "Communications Configurations" section.

Entity Level: Now when a user updates the status of an application or a placement, the system will display a message (Notify candidate about the status change) where a user will have the ability to select the checkbox and preview the email templates associated to the selected status. Upon clicking the "Save" button, the system will update the status of the application/placement and also trigger an email alert to the applicant with an update stating that they have been marked as "unsuccessful or successful" (example).

After triggering the email: These changes will be captured and displayed to the users under "Status Change Emails" tab which is located under the "Communications" tab on an application or a placement page.

Note: At the moment this feature is implemented only against the application and placement status changes on Ready Recruit. And also please note, the emails will never be triggered to the applicants until and unless the checkbox is selected.


Placements - New Tab (Status Change History) (New Feature)

In the previous release, we have added the ability to pull the placement reports (apprentices/trainees) that were in "Current" status at any stage between two different dates. To support and enhance this feature, this week, we have added a new tab "Status change history" under the applications and placements page. 

This new tab will be similar to the placements rotation history where the users will have the ability to view the journey of an applications or a placement (list of all the statuses that a particular application or a placement went throughout its period).


Notes - New Filter (Office) (New Feature)

On the notes search page, we have added the ability to filter and export the file note records based on the following field:

  • Office

This new filter "Office" will be the associated main entities office (site) against which a file note is created.


All Vacancies - New Bulk Action (Create Notes) (New Feature)

We have added the ability for users to create notes against vacancy records in bulk from the vacancies search page. An activity log record will also be captured against the vacancy record when the notes are created from a vacancy page or through the bulk action.

This is restricted by a user role permission that has been included within the Roles and Permissions area from the admin dashboard, allowing you to decide which user role should have the ability to create vacancy notes in bulk. By default this permission will be available only for the admin role.

This permission is labelled as:

  • Can Bulk Create Notes


Gateway Self Configuration - Ability to create multiple admin accounts (New Feature)

For Gateway customers, as a part of self-onboarding / self-configuration project on Gateway, the admin users will now have the ability to create multiple admin accounts from the admin dashboard. After creating an admin account, the system will automatically trigger a welcome email to the newly created admin account with a confirmation link that has an expiry time of 2 days. The new users will have to confirm the account and assign a new password before accessing the admin dashboard on Gateway. 

As of today, the admin users on Gateway can self-configure the following features on Gateway via the admin dashboard:

  • Occupations
  • Occupation Categories
  • Useful Links
  • Useful Links Categories
  • Social Media Links
  • Email Templates
  • Security Settings
  • Various Preferences (Feature Flags)
  • Customise Job Alert Email Timings
  • Terms & Conditions
  • Images and Banners
  • Create Multiple Admin User Accounts
