Assigning Site Visits to a Placement

Introduction

Administrators can create Site Visits Types and Site Visit Schedules for use within the Ready Recruit Product!

This guide will show you some useful features to help you set up Site Visit Types and Site Visit Schedules for use within the Ready Recruit Product!

Creating A Site Visit Type

Click on the Admin Settings dashboard icon from the left-hand side navigation panel.

From Site Visit Configurations, click Types

To create a New Visit Type, click the Add button next to the New Visit Type

The New Visit Type Modal will appear

Name your New Visit Type and click

The Site Visit Type is now created! Site Visit Types can be selected when creating a Site Visit Schedule OR when adding an individual Site Visit to a Placement.

Creating a Site Visit Schedule

Click on the Admin Settings dashboard icon from the left-hand side navigation panel.

From Site Visit Configurations, click Schedules

To create a New Site Visit Schedule, click the add button next to New Visit Schedule

The New Site Visit Schedule modal will appear, name your Schedule and click Create Visit Schedule

The New Schedule is now created!

Tip: You may have to refresh your browser for the new schedule to appear in the list.

 

To manage the New Site Visit Schedule, click Manage Schedule Details

The Visit Schedules Details modal will appear, click New Schedule Details

The New Schedule Details window will now appear with the following fields

  • Title- Schedules title
  • Visit Type- Type of Site visit this is (Created earlier in this guide)
  • Predefined Placement Officer- This will default to the field officer for visits.
  • Field Officer- Which offer will be used if the placement has no officer assigned.
  • Period- Period of time. 
  • Period Type- Type of period eg. Days, Weeks or Months.
  • Due Mode- When the visit is due in relation to the period type eg. before or after X amount of days.
  • Due Field- What the Visit is due after eg. Host Start date, TC Start date, Host Expected End date and TC Expected End date
  • Forms- Any forms you wish to be attached to the schedule.

After all relevant information is entered, click

The Site Visit Schedule is now created!
